Summary Manage and coordinate efforts and deliverables associated with new and existing opportunities in support of overall Freeman Agency Services. Create proposal budgets, manage resources and timelines for RFP/RFIs. Lead Freeman Agency services venue sourcing, negotiations and contracting for current and prospective clients. Work collaboratively across Freeman to provide support during the RFP process and one complete estimate based on scope of work communicated. Essential Duties & Responsibilities --- Development production budgets associated with proposal pursuits and work with assigned operations lead to transition once awarded--- Create proposal expense budgets and monitors proposal development costs and resource allocation to ensure they are within budget--- Create production timelines required to deliver proposals as well as proposed project timelines for incorporation into proposals--- Utilize Freeman tools & templates to assist Growth leads and Project Managers establish consistency in content across RFP/RFIs--- Participate in proposals as a Project Manager on occasion to help support delivery of RFP response timeline--- Work with other departments/agencies in order to produce, ensure quality, and deliver information and data to clients accurately and on time--- Work closely with Agency leads within event production, creative, strategy and sponsorship to ensure staffing and budget estimates are accurate and approved--- Communicate to each department lead, resource needs for any potential new opportunity--- Collaborate with leaders of Conferences and Events and Production on contracts/agreements and manage proposals and occasional sold program budgets to which they are assigned--- Maintain consistent and thorough communication with all levels of employees, contractors, vendors, and Freeman divisions--- Pre-sales support for sourcing, management and execution associated with all aspects of live, virtual & hybrid events--- Participate in Proposal development turn over meetings, create and respond to RFP questions and assist in response timelines--- Maintain confidential and sensitive information and files, correspondence and records--- Source vendors and aggregate costs associated with proposals, program budgets, travel, record keeping, expense reporting, purchasing, etc.--- Ability to work in a fast environment with multiple proposal deadlines ranging from 7 20 days--- Perform other duties as assigned Education & Experience --- Bachelor degree or equivalent combination of education and experience--- A minimum of 3-5 years of experience in the corporate events, event production and services--- Experience in managing vendors, people, equipment, and timelines--- Experience in proposal development and pricing for larger corporate events--- Strong background in production and conference operations (working with Creative, Strategy, Sponsorships & Production departments)--- Must have some experience in the event production operations (staffing & budgeting).--- Strong project and contract management--- Exposure to and previous experience with agency type budget management of 300K+ Ability to quickly recognize or anticipate problem areas and quickly develop solutions--- Flexible, self-motivated, energetic, and uses time productively and efficiently--- Strong and proficient skills with Microsoft Office tools such as Excel, Word, and PowerPoint--- Exhibits an outgoing, upbeat personality, enjoys working as part of a team, and is efficient, considerate, and organized, with a keen eye for details--- A strong attention to excellent customer service with proven written and verbal communication skills is preferred--- Must be independent, resourceful and solution oriented Diversity Commitment At Freeman, our commitment to diversity and inclusion is helping us to create not only a great place to work, but also an environment where our employees, our customers and our communities around the world can reach their goals and connect with each other.
