Short Term & Long Term Disability Benefits. Position: Director of Project Management. Department: Project Management Office. Reports To: Chief Information Officer. FLSA: Exempt Grade: 15. SUMMARY. Plans, coordinates, directs, and oversees all activities of the Project Management Office (PMO), which includes Business Analysis and Design. Develops and directs the strategic planning and execution of multiple projects across the organization ensuring operational excellence. Works across the organization building relationships and fostering a culture of “One Team.” Delivers training to the organization in order to ensure project management methods and tools are leveraged outside of PMO. This position interacts with executive management and is an active participant in the Enterprise Steering Committee.. SUPERVISORY RESPONSIBILITIES. Responsible for overall management of the Sr. Project Manager(s) and Business Analyst Lead(s), including but not limited to providing guidance and assistance on interviewing, selecting, and hiring team members; scheduling, assigning, training and directing work; evaluating performance; coaching, counseling, rewarding and disciplining team members; recommending team members for transfers, promotions, and terminations.. ESSENTIAL FUNCTIONS. Develops, tailors, and maintains project management methodologies related to waterfall and Agile (e.g., Scrum, Kanban, hybrids) and ensures the PMO team has the skills, knowledge and abilities to apply the methodologies consistently across all projects.. Coaches the Business Analyst Team lead to ensure their personal efforts, and the efforts of those reporting to them, meet the performance and leadership expectations of the organization.. Aligns Project Management and Business Analysis functions with other project and process needs to respond to strategic and operational projects and process-related initiatives. Develops and tracks project and team performance metrics, and holds the team accountable to those expectations.. Integrates efforts across Project Management, Organizational Change Management and Business Process Management, and builds these efforts into the project management methodology.. Works closely with Executive Management to ensure projects align to the organization’s strategic objectives.. Responsible for facilitating and organizing the Steering Committee, and reporting Steering Committee efforts and decisions to the Executive Team.. Facilitates resource allocation and organizational project roadmapping, particularly related to strategic projects, across the business units.. Provides reporting to the Executive Team during operational and strategic planning sessions.. Coaches the Sr. Project Managers to ensure their personal efforts, and the efforts of those reporting to them, meet the performance and leadership expectations of the organization.. Guides PMO team and project teams as they determine which project approach (e.g., traditional, Agile) might best apply to the project, and then guides the teams as they follow the selected approach.. Ensures project teams are progressing toward project milestones and completing deliverables according to the project schedule and within the established timeline.. Responsible for ensuring project deliverables are meeting the expectations of project stakeholders.. Ensures project documents are complete, current, and stored appropriately.. Identifies, assesses, and seeks approval for resource needs throughout all phases of a project and assigns individual responsibilities for project deliverables.. Resolves and/or escalates issues in a timely manner.. Cultivates and assembles cross-functional teams and committees necessary to complete projects and obtain information to streamline credit union processes and procedures.. Responsible for compliance with all Federal regulations including Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC). Uses Integrity Coaching skills to routinely and effectively coach staff to meet personal, departmental, and organizational goals, including documenting and tracking progress and results.. Utilizes The Member Advantage AIDINC system to identify potential member (internal or external) service needs which can be met through the sale of credit union products and services, or adherence to the department’s policy and procedures.. EXPERIENCE AND OTHER REQUIREMENTS. Minimum of ten years of similar or related experience leading and directing project teams to deliver projects within the constraints of the project specifications required.. Prior experience developing, tailoring, and maintaining project management methodologies related to waterfall and Agile (e.g., Scrum, Kanban, hybrids).. Prior experience developing and tracking project and performance metrics and departmental budgets.. Prior experience working directly with and reporting to executives.Prior experience directly managing resources required, including but not limited to interviewing, selecting, and hiring team members; scheduling, assigning, training and directing work; participating in annual performance evaluations; performing regular one-on-one coaching, rewarding and disciplining team members; recommending team members for transfers, promotions, and terminations.. Knowledge of Business Process Management, Process Engineering or BPMN utilizing Agile, Lean, Waterfall, SIPOC or DMAIC methodologies is desirable. Change Management knowledge, specifically ADKAR, Kotters and McKinsey methodologies is desirable. Knowledge of Enterprise Architect and/or Visio for Business Process Management is desirable. Ability to develop partnerships and collaborate with other business and functional areas. Demonstrate conceptual thinking and analytical skills with high attention to detail and accuracy. Familiarity with at least one project management tool (Sciforma, Basecamp, JIRA, etc.) required.. Experience working in the financial services industry preferred; additional preference for prior experience in a credit union.. Prior experience managing projects involving core systems integrations and modifications. Familiarity with the Symitar Episys and Jack Henry ancillary systems preferred.. Ability to lead change internally within an organization.. Must be highly organized and capable of handling multiple tasks concurrently.. Must be able to develop creative solutions to business problems and work well within a team environment.. Excellent communication, collaboration, and influence skills required.. Must possess strong analytical skills with the ability to view both detail and alignment with the strategic plan.. Must be a self-starter and possess the ability to work well under pressure.. Must be able to perform all functions independently with minimal supervision in a reasonable amount of time.. Effectively work with external third parties to ensure accurate and timely project completion.. Establishes and communicates goals and directives to PMO team members to ensure clear understanding of requirements and expectations.. Provides mentoring and coaching to support and develop management and staff in the PMO department.. Maintains a well-trained, highly motivated staff.. Defines and communicates project milestones, service level agreements, and resource allocation to Sr. Management, department heads, and end-users as needed.. INTERPERSONAL SKILLS. Excellent communication skills at the executive level, throughout the leadership of the organization, and down to the end-user are required. The ability to build business relationships and alignment across business units is a critical skill. The ability to motivate or influence others is a material part of the job, requiring a significant level of diplomacy and tact. Obtaining cooperation (internally and/or externally) is an important part of the job, and a high level of interpersonal skills are critical to the success of this position. Work frequently involves contacts requiring considerable discussion of problems, material presentations, and resolving issues that affect departments and business units.. COMPUTER SKILLS. Comprehensive experience with project and portfolio management software required.. Comprehensive experience with office productivity software (Word, Excel, PowerPoint, Visio) required.. CERTIFICATES, LICENSES AND REGISTRATIONS. Agile certification preferred.. PHYSICAL DEMANDS.
