Job Description:

The Pay Services Representative partners with employees, managers, HR Contacts, HR Service Representatives to ensure employees receive accurate pay. This position is responsible for researching and resolving pay discrepancies, retro payments and payments related to new hire, job data changes and separations transactions. -The position requires exceptional customer service to OneSource customers, inputs data and ensures data integrity. The Pay Services Representative will leverage tools such as case management (Sales Force) to respond to and track employee and manager inquiries thereby providing data and information as to the effectiveness of the HR organization. -Through their actions the representative drives superior Employee/Manager (customer) satisfaction. -

  • Acts as a liaison with the Payroll team and timekeeping vendors to accurately resolve employee and manager inquiries about possible payroll and timekeeping issues that are escalated via phone, email, the HR portal, or other access channels. -
  • Partners with OneSource HR Service Representative (HSRs) to accurately process payments related to new hires, job data changes and separation transactions.
  • Provides guidance to the OneSource HSRs on Payroll and timekeeping questions to promptly resolve customers' inquiries.
  • Utilize various tools, including excel, case management (Sales Force), timekeeping systems and Oracle to ensure timely payments and accurate calculation of pay.
  • Adhere to state guidelines to accurately calculate pay and to ensure the pay is received by state deadlines. -
  • Enter time in the VRS timekeeping system to ensure the employee is paid for missing time in a timely manner while adhering to VRS guidelines.
  • Understands scope of services and escalates items to others as defined. -Investigates complex requests which cannot be resolved by analyzing the nature of the request and require routing to appropriate internal or external group for support. -
  • Logs all calls, emails, PUI entry, timekeeping entry and other inquiries in the case management system (sales Force). -Updates other systems as needed. -
  • Abides by documented Quality guidelines when handling customer calls, timekeeping entries and payroll entries. -
  • Exercises professional and customer-focused approach to handle customer inquiries. - Ensures client privacy where appropriate, including confidentiality and protection of sensitive client reports or information. Ensures quality customer experience by communicating empathy to de-escalate difficult situations. -
  • Demonstrates excellent written communication skills including proper grammar and correct sentence structure to document cases in the case management system and communicates with customers and employees via email. -
  • Uses excellent verbal communication including proper grammar, tone, and a clear speaking voice to ensure solid communication with the customer via phone.QUALIFICATIONS
    • High School Diploma
    • 1-3 years of payroll or shared service experience
    • Excellent customer service focus and manner
    • Previous data entry or customer service experience preferred
    • Experience in Word and strong working knowledge of Excel, Oracle HRIS system and timekeeping systems (i.e. ROS, Kronos). -
    • Data entry skills including excellent data quality, demonstrating accuracy and attention to detail in work. -
    • Excellent verbal and written communication skills. -
    • Ability to solve problems in a timely manner and takes initiative to improve processes and programs. -
    • Ability to work well in a team environment, seeking the ideas of others and valuing differing perspectives.
    • Exercises agility and ability to adapt/learn new systems -
    • Excellent organizational skills.
    • Ability to handle confidential information and exercises sound judgement.
